Please read these terms carefully before applying for a place on any Heart of Greece tour. By submitting an application and paying a deposit, you agree to these terms in full.

1. The agreement

A booking is confirmed when The Heart of Greece accepts your application and receives the deposit payment. The contract for the tour is between you and Tania Psathas & Associates Ltd, trading as The Heart of Greece, operating from Athens, Greece from August 2026.

By confirming your booking you agree to all terms set out in this document. These terms are governed by New Zealand law.

2. Pricing

Tour pricing is confirmed in August 2026. All prices are stated in USD per person based on twin-share accommodation.

Single supplement

A limited number of single-occupancy rooms are available on each tour for guests who prefer sole use of their accommodation. The single supplement will be confirmed alongside tour pricing in August 2026 and must be requested at the time of application. Single supplement availability cannot be guaranteed and is allocated on a first-come basis.

3. Payments and instalments

Payment for your tour is made in three instalments as follows:

Deposit: 30% of total tour cost

Due on confirmation of booking. This deposit is non-refundable in all circumstances.

Second instalment: 40% of total tour cost

Due 90 days prior to departure. For Peloponnese Unbound (October 1 departure): due 4 July 2026. For Epirus Unveiled (October 14 departure): due 17 July 2026.

Final payment: remaining balance

Due 60 days prior to departure. For Peloponnese Unbound (October 1 departure): due 2 August 2026. For Epirus Unveiled (October 14 departure): due 15 August 2026.

4. Cancellation by the guest

We understand that circumstances change. The following cancellation policy applies from the date written confirmation of booking is received:

More than 90 days before departure

The deposit is forfeited. Any additional payments made above the deposit will be refunded in full within 14 days.

60 to 90 days before departure

50% of the total tour cost is forfeited. The remaining 50% will be refunded within 14 days.

Fewer than 60 days before departure

No refund applies. The full tour cost is forfeited.

Fewer than 30 days before departure

No refund applies. The place cannot be transferred to another person at this stage.

5. Cancellation or changes by The Heart of Greece

In the unlikely event that a tour is cancelled by The Heart of Greece before departure, all payments made will be refunded in full within 14 days. The Heart of Greece is not responsible for any additional costs incurred, including flights, independently booked accommodation, visas, or other travel arrangements. We strongly recommend that all bookings are made refundable or are covered by appropriate travel insurance.

If changes to an itinerary are necessary due to circumstances outside our reasonable control, including weather events, site closures, safety considerations, or civil disruption, The Heart of Greece will make reasonable alternative arrangements at no additional cost to guests. No refund is provided for itinerary changes of this nature where the tour continues to operate.

The Heart of Greece reserves the right to substitute accommodation, activities, or suppliers where necessary, provided that the overall quality and character of the tour is maintained.

6. Behaviour and group standards

Heart of Greece tours are small and intimate by design. The experience of each guest directly affects the experience of every other. We ask all guests to travel with openness, respect, and genuine consideration for those around them.

The Heart of Greece reserves the right to remove a guest from a tour immediately and without refund in the following circumstances:

  • The guest's behaviour is causing distress, discomfort, or upset to other members of the group.
  • The guest's conduct is disrupting the enjoyment, wellbeing, or safety of other participants.
  • The guest is acting in a manner that is inconsistent with the values and ethos of The Heart of Greece.
  • The guest is placing themselves or others at risk.

Where a guest is removed from a tour for any of the above reasons, no refund of any amount paid will be provided. Any costs associated with the guest's onward travel, accommodation, or repatriation from the point of removal are the sole financial responsibility of that guest. The decision to remove a guest rests entirely with the tour operator and is not subject to appeal or review during the tour itself.

We do not anticipate needing to apply this clause. We include it because the quality of every person's experience matters deeply to us, and we have a responsibility to protect it.

7. Travel insurance

Comprehensive travel insurance is required for all guests on all Heart of Greece tours. Insurance must cover at minimum:

  • Trip cancellation and curtailment from the date of deposit.
  • Emergency medical expenses including hospitalisation.
  • Emergency evacuation and repatriation.
  • Personal liability.

Proof of travel insurance must be provided to The Heart of Greece no later than 30 days before departure. A place may be released if insurance cannot be confirmed by this date. The Heart of Greece accepts no liability for costs arising from a guest's failure to hold adequate insurance.

8. Health and physical requirements

Heart of Greece tours involve moderate physical activity including walking on uneven and cobbled ground, steps, and occasionally hilly or mountain terrain. Guests are responsible for ensuring they are physically fit and able to participate in the activities described.

Any health conditions, mobility considerations, or physical limitations must be disclosed at the time of application. The Heart of Greece will make every reasonable effort to accommodate specific needs but cannot guarantee access to all elements of every itinerary for all guests in all circumstances. If a disclosed condition means that meaningful participation in the tour is not possible, The Heart of Greece reserves the right to decline the application.

9. Dietary requirements

Dietary requirements including allergies, intolerances, and food preferences must be disclosed at the time of application. The Heart of Greece will communicate these to all relevant suppliers and make every reasonable effort to accommodate them. However, in remote areas and at some traditional establishments, options may be limited. Guests with severe or anaphylactic allergies are advised to carry appropriate medication and to discuss their requirements in detail with us before booking.

10. Responsibility and liability

The Heart of Greece, operated by Tania Psathas & Associates Ltd, is responsible for the services described in the confirmed itinerary. We are not responsible for services provided by independent third parties, including airlines, transfer providers, accommodation not booked by us, or independent activities.

We are not liable for losses, additional expenses, injury, illness, damage, or disappointment arising from events outside our reasonable control, including but not limited to: weather events, acts of nature, illness or injury, civil unrest, government travel advisories, or actions of third parties.

Nothing in these terms limits liability for death or personal injury caused by our own negligence.

11. Photography and content

The Heart of Greece may photograph or film elements of the tour for use in promotional and marketing materials including the website, social media, and print. Guests who do not wish to appear in photographs or video content must notify us in writing before departure.

Guests are welcome to share their own photographs from the tour. We ask that photographs shared publicly that tag or reference The Heart of Greece are shared respectfully and with consideration for the privacy of other guests and the communities we visit.

12. Governing law and disputes

These terms are governed by New Zealand law. Any dispute arising from or connected to these terms or any Heart of Greece tour will be subject to the non-exclusive jurisdiction of the New Zealand courts.

We always prefer to resolve any concerns directly and informally. If you have a concern during a tour, please raise it with Tania at the earliest opportunity so that we have the chance to address it.
